1. Addition of Tasks

WriteUpp users now have the ability to create Tasks for themselves and other colleagues.

To create a Task:

  1. Click on the "+ Create" button at the top of the screen and select "Task"
  2. You will be taken to the New Task Page:

  3.  Enter the Task Subject in the "What?" field (max. 75 characters)
  4. Select the date the task is due from the "When?" field. This will default to today's date, and clicking in the field will bring up the calendar

  5. Select the Clinician who is responsible for the Task from the "Who? drop-down list
  6. Click on the "Does this task relate to the Active Patient?" if it relates to your currently selected patient, or leave it unselected if it is a generic Task
  7. Enter any additional detail in the "Comments"
  8. Once this is complete, click "Save"
 

To view all Tasks:

  1. Click on the "Views' button at the top of the page and select "Tasks"

  2. You will the taken to the Tasks List Page:

  3. The Tasks page is split into two Tabs, the default being "Active Tabs" which shows all Tasks which are due or overdue, and "Completed Tasks" which shows all completed Tasks
  4. This View defaults to show only Tasks assigned to the logged-in user, but to see those assigned to other clinicians in your site, uncheck the "Show my Tasks only" checkbox
 

Task Notifications

When a Task is due to be completed today or it is overdue, the Task Notification icon will change to it's active state to notify you. These Tasks will only appear as notifications if they are set for today or a date in the past. The notification will remain until the Task is completed, moved to a future date or deleted.

 

No due/overdue Tasks

  • The Inactive Task Notification icon will look as follows  inactive.png
  • Clicking on the icon will reveal the drop-down to say "There are no Tasks due"

  • Clicking on this message will take you through to the Tasks List

Due/overdue Tasks 
  • The Active Task Notification icon will look as follows active.png
  • Clicking on the icon will reveal the drop-down outlining all of your due and overdue tasks

  • In order to quickly mark a Task as completed, click on the green tick in the menu greentick.png
  • To modify or add a more detailed resolution to the Task, click on the Task name and you will be taken through to the Edit Task page

To complete/modify a Task from the Tasks page:

  1. To quickly complete a Task, click on the "Complete" button next to it. This will move the Task from the Active Tasks tab into the Completed Tasks tab
  2. To add a more detailed resolution or modify a Task, click on the row and you will be taken to the Task details page

  3. To modify the Task, change any of the details and click "Save"
  4. To complete the Task, click on the "Complete" button
 

To Delete a Task

  1. Go to the Tasks List page
  2. Click on the "Delete" icon bin.png next to the Task you wish to delete
 

2. External Links added to the Patient Profile

Users now have the option to specify up to 4 links to external sites and apps for the patient in their profile (i.e. Twitter, Skype, VideoProfiling)

To Add External Links:

  1. Go to the Patient Summary
  2. Select the Profile tab
  3. Click on the "Edit details" button at the bottom of the page
  4. At the bottom of the editable page, you will see the following section:

  5. Enter the name of the link in the "Link Name" fields (i.e. Twitter)
  6. Enter the URL of the link in the "Link URL " fields (i.e. www.twitter.com/WriteUpp), ensuring to include the "www."
  7. Click on the "Save" button
  8. You will be taken back to the Profile page where you will see your links listed at the bottom

  9. Clicking on this link will take you to that URL in a new tab or window
 

3. Referrer added to the Patient Profile

You can now specify the source of referral for patients into your practice from a modifiable drop-down list.
 
To add a Referrer:
 
  1. Go to the Patient Summary
  2. Select the Profile tab
  3. Click on the "Edit details" button at the bottom of the page
  4. In the "Referrer" drop-down list, select the source of referral

  5. Click on the "Save" button
  6. You will be taken back to the Profile page where you will see your source of referral

To add to the list of Referrers (Admin Only):
 
  1.  Go to Settings and select the "General" tab
  2. From the 3 links, select "Referrers"

  3. This section will then expand

  4. To add a new Referrer, click on the "+Add" button and the following section will appear

  5. Enter the Referrer and then click "Save Referrer"
 
To modify/delete the list of Referrers (Admin Only):
 
  1. To edit/delete a Referrer, click on "Edit" in the Referrer row and you will be taken to the Edit page

  2. Make any changes to the Referrer and click "Save"
  3. To delete a Referrer, click "Delete"bin.png

4. "Recent Patients" button changed to "Business Views"

 

The Recent Patients has been replaced with the "Business Views" button giving you access to both the Recent Patients page and the new Task List page through the use of a drop-down list.

5. "Patient City" is now an available letter and note variable

The "Patient City" which features on the patient's profile can now be added to Notes, Documents and Document templates. 
 

To insert into a Note or Document:

  1. Create a new Note or Document
  2. Click on the "Insert Variable" button in the editor var.png
  3. From the "Insert Variables" window, select "Patient City"
     
NOTE: If the City has not been entered for the patient in their profile, this variable will not appear in the list
 
 

6. Ability to delete unpaid Invoices

Users now have the ability to delete Invoices that are still Unpaid. When an Invoice is deleted, any Appointments that were included move back from "Read Only" status in the Diary and are able to be Invoiced once more.

 

To delete an Invoice: 

  1. Select the Invoice from the Patient Summary
  2. Click on the "Delete" icon bin.png
 
NOTE: Invoices which have been marked as "Paid" cannot be deleted
 
 

7. Reformatted Invoices

Changes have been made to the generated Invoiced to ensure that they are properly formatted for different shapes and sizes of clinic logo.

The Clinic Address and contact information also now appears centred at the bottom of the Invoice.

 

8. Validation on non-patient Appointments saved without a label

Previously when you attempted to save a non-patient Appointment without a label, there was no indicator to inform you. Now if you save without a label, a red asterix will appear next to the field.

9. Ability to Print All Notes

We have now added the option to print All Notes onto the same page from within the Notes List view.
 

To Print All Notes:

  1. Go to the Patient Summary and select the Notes tab
  2. Click on the "List" icon

  3. At the bottom of this page, click on the "Print All Notes" icon print.png
  4. All Notes will now print together
