 1. Timetabling & Locations

If you work from multiple locations on a regular basis you can now create a timetable so that you, your colleagues and your clients know where you will be working on any given day.

You can also link appointment types to specific locations so if you only offer a particular type of treatment at one location and not at another you can factor that into your timetable.

If you use online booking (select+book) your timetable will also be reflected in the availability offered to your clients. So, now if you work from multiple locations your clients will be given the option to select their treatment type and their preferred location (where that treatment is available).

To manage all of this we have provided you with an intuitive diary-style timetable tool.

If you work from multiple locations but don't want to use the timetable tool, that's fine. Just add your locations and these will be presented as options when you book appointments.

All sites following the update are set to single site only, but if you wish to set-up and use multi-sites, you can follow the steps in the "Guide to Locations".

 

2. Email Invoices to Clients and Third Parties

Once you have created an Invoice for a client, you now have the option to email it directly to them or the Third Party that will be paying the invoice. For this to happen, the client or the Third Party must have an email specified in their Patient Record, or in the Third Party set up.

When you have created the final Invoice, if the Patient or the Third Party has an email address saved, the "Email" icon will appear at the bottom of the page.

Clicking on this icon will email the Invoice directly as a PDF document to the specified email address.

You will then be taken back to the Account tab of the Patient Summary, where you can see where the Invoice has been emailed to.

NOTE: This will only work for Invoices created after the update has been performed. Previous Invoices will not have this functionality.

 

3. New Appointment Slider

When booking an Appointment in the Diary, we have replaced the Appointment dialog that used to appear in the centre of the screen with window that slides in from the left. It still contains all of the same functionality, but is now optimised for use on tablets and other touch screen devices.

We have also changed the options from "Patient Related | Non-patient Related" to "Patient | Non-patient"

You can close the slider by clicking in the "x" icon at the top of the panel.

4. Mini Calendar in Diary Week View

If you are viewing the Diary in a Week View, we have now added the Mini Calendar column to the left hand side of the screen to allow you to schedule and navigate between days more easily. Whichever day you select in this calendar will take you to view that week, and your Clinic List for that day will also show in the section below.

 

5. Ability to manage Patient Tags

You now have the ability to delete the Tags that are added to your Patient Records. To do this, click on your name in the top right-hand side of the screen and select "Tools" . Select the "Manage Tags" option and you will be taken to a screen where you can see all of your Tags.

To delete a tag, click on the "Delete" link next to it, and it will be removed from the list and all Patient Records it was associated with.

6. New filters and columns on Activity View

To help you manage your finances more easily we have added a host of new features to the Activity section of the Business Views.

At the top, there are two new filters which allow you to filter by Appointment Type and Clinician. These are set to "All" by default.

We have also added a number of new columns to the list of Appointments, including:

  • The duration of the Appointment in minutes
  • Appointment Status
  • Location

 

7. Ability to add Third Party types

You can now create your own Third Party types. To to this, go to Settings and select the Third Parties tab.

Expand the "Types" accordion and you will see all your your default Types.

To add a new Type, click on the "+ Add Third Party Type" button and a section below will expand. Name the Type, and then specify if there are any additional fields associated with this Type. These fields will allow you to add specific fields for each patient that relate to that Third Party. These must be separated by a comma and no spaces.

For example, the "Insurer" Type has the addition of  3 extra fields, "Policy Number,Authorisation Code,Authorised sessions". When you add an Insurer to a Patient's record, you can specify these three fields specifically for each patient.

Once you are done, click "Save".

Now when you go to create a Third Party Organisation, you can pick this Type.

 

8. Deletion of recurring Appointments

If you have created a series of recurring Appointments, you can now easily delete either one appointment in the series or the whole series. To do this, select an Appointment in the series and the Appointment panel will slide in.

You will see a button that says Delete, and clicking on this gives you the option to delete:

  • Just this Appointment or;
  • All Future Occurences

NOTE: This does not include any past instances of the Appointment from the Appointment you selected for deletion. 

 

9. Additional Information on Note and Assessment print-outs

Now when printing a Note or Assessment, some additional information has been added to the printed header. In addition to the Patient's Name, Date of Birth and your Clinic Name, the header also contains:

  • The Status (Draft of Read Only)
  • The Type (if a Note)
  • The Assessment Name (if an Assessment)
  • The Time Saved
  • The Date Saved
  • The User it was Saved by

 

10. Duration added to Invoices

When creating an Invoice, the Duration of each Appointment now appears.

11. Changes to PDF Viewing

We have removed the old PDF Viewer, making it easier to print and view multi-page PDFs. Now when you go to view a PDF and click on the "View" button, it will launch in a new window in your browser. From here you can download/save the PDF if required. Neither of these actions will impact the integrity of the file in the database.

 

12. Tasks added to Recent Activity stream

Now when you view the Recent Activity stream in the Patient Summary, recent Tasks for the Patient will also be included.

 

13. Clinician added to Notes on Mobile App

When viewing the list of Notes created for a Patient on the Mobile App, you can now view the name of the Clinician who created the Note.

 

14. Hardcoded address removed from Invoice Footer

We have made some changes to the standard format of Invoices created in WriteUpp to allow for more flexibility. Instead of your Practice details being shown at the bottom of the page above the Invoice Footers, these have now been removed. If you wish to show these details here, you can simply add them to the top of your Invoice Footer.

To do this, go to Settings and click on the General folder and expand the Invoicing tab. Here you can see a text area to add your Practice and Invoicing details to.

 

15. Add images to Invoice Footer

You now have the ability to upload any images from your PC to include in your Invoice Footer.

 

16. Timepicker increments increased to 5 minutes in Diary

When using the timepicker to select times when booking an Appointment in the Diary, we have increased the time increments from 15 minutes down to 5 minutes. This allows users on touch-screen devices to schedule with more accuracy.

 

17. Selected checkboxes and radio buttons bold in Assessments

When you select an option in an Assessment in a checkbox or radio button, the accompanying text will now be in bold. This will make the selected options more prominent when the Assessment is Read Only or printed.

Bug Fixes

  1. Previously including special characters such as "<" or quotation marks could cause error on the Invoices and Appointments in the Diary. This has now been fixed, so you can include them in any text field on any page
  2. Practice names that featured any special characters such as "&" were causing parts of SMS Confirmations and Reminders to fail sending. This has now been fixed.
